Terms, billing & refunds

Last updated March 2026. These terms supplement your client agreement where applicable.

Overview

These terms cover how Optic Web Design (“we”, “us”) charges for work and what happens to payments. They supplement, and are subject to, the statement of work or client agreement signed for your project. Where a signed agreement and these terms conflict, the signed agreement governs.

What you pay for

Project fee: a one-off charge for the design and build of your website, as quoted in your proposal or statement of work.

Maintenance subscription: an optional recurring monthly charge that keeps your site hosted, updated, and supported and enables on-site assistant features. It renews automatically each billing period until you cancel.

All payments are processed securely through Stripe. By paying an invoice or starting a subscription you agree to these terms.

No refunds

ALL PAYMENTS ARE NON-REFUNDABLE. This includes one-off project fees, deposits, and every monthly maintenance charge, whether the payment was made manually or collected automatically by Stripe.

We do not provide refunds, credits, or pro-rated returns for partial billing periods, unused time, change of mind, or any maintenance charge that was taken before a cancellation request reached us.

Once a Stripe payment has been processed it will not be reversed by us. This policy applies regardless of how much of a billing period has elapsed or how much the service has been used.

Cancelling your maintenance subscription

The maintenance subscription does not auto-cancel and cannot be cancelled from within the site. The only way to cancel is to send a request by email to hello@opticwebdesigns.com.

When we receive a cancellation request we action it immediately — your subscription is cancelled straight away and no further payments will be taken.

Until we receive your request, the subscription continues to renew and charge as normal. We recommend emailing us well before your next billing date if you wish to stop.

Your responsibility for cancellation

It is your responsibility to cancel your subscription if you no longer want it. Because the subscription renews automatically, charges will continue until you request cancellation.

We are not liable for charges that occur because a cancellation request was not sent, was sent to the wrong address, or was forgotten. Payments collected before we receive your request are non-refundable, as set out above.

If you believe you have been charged in error after a confirmed cancellation, contact us at hello@opticwebdesigns.com and we will investigate.

Changes to these terms

We may update these terms from time to time. The “Last updated” date at the top will change when we do. Continued use of a maintenance subscription after an update means you accept the revised terms.
